Document Management:
- Maintain and organize project documents such as contracts, drawings, specifications, and reports within Procore
- Ensure version control by managing document revisions and updates in Procore
- Create and maintain document registers and logs in Procore
- File documents in physical and digital records and ensure appropriate storage
Compliance and Quality Control:
- Ensure all documents comply with internal and external regulations (e.g., ISO standards)
- Perform quality checks to ensure documents are accurate, properly formatted, and meet company standards
- Implement procedures to ensure document control systems meet industry and company standards
Collaboration and Communication:
- Serve as the point of contact for document-related inquiries and issues
- Liaise with various teams (e.g., design, engineering, and construction teams) to ensure smooth document flow
- Facilitate communication between internal and external stakeholders by providing easy access to necessary documents through Procore
Document Security and Confidentiality:
- Ensure documents are secure and confidential, restricting access to sensitive information
- Backup and archive project documents regularly to prevent data loss
Project Support:
- Provide administrative support to project teams by assisting in preparing documentation for meetings, reviews, and audits
- Assist the Project Manager during audits and as needed

コンプライアンスおよび品質管理
- 社内外の規定(例:ISO規格)に準拠した文書管理を実施
- 文書の正確性、フォーマット、社内基準への適合性を確認する品質チェックを実施
- 業界および社内基準に準じた文書管理プロセスの導入・運用
コラボレーションとコミュニケーション
- 文書に関する問い合わせや課題の窓口として対応
- 設計、エンジニアリング、施工など各チームと連携し、文書の円滑な流通を支援
- Procoreを通じて、社内外の関係者が必要な文書に容易にアクセスできるようサポート
文書のセキュリティと機密保持
- 機密情報へのアクセス制限を含む、文書のセキュリティ管理を徹底
- データ損失防止のため、プロジェクト文書の定期的なバックアップとアーカイブを実施
プロジェクト支援
- 会議、レビュー、監査に向けた文書準備など、プロジェクトチームへの事務的支援
- 監査時や必要に応じて、プロジェクトマネージャーの補佐業務を担当
資格
- 5+ years’ experience in the construction industry, knowledge of project management and whole project process. Design experience is plus
- Bilingual in English / Japanese
- Ability to manage and control a project delivery. Able to engage with international and local client teams & stakeholders and local GC effectively.
- A demonstratable understanding of how to manage a construction project from document management from procurement through to closeout. A willingness to blend Japanese and international expertise for industry standard project management delivery.
