He aha te mahi? What's the role?
The Operations Specialist will be based in our Tokyo office, reporting directly to the Operations Manager. You will be responsible for validating, approving and assuring accuracy of quality claims while handling key operations activities.
Quality Claims Processing
- Validate and approve quality claims accurately and in timely manner using stringent approval criteria.
- Post claims in the system after approval.
- Document all the regular and exceptional approvals.
- Follow “exception by management” principle while managing exceptional claims scenarios.
Quality Claims System and Data Management
- Ensure that quality claims system, data handling and data transmission to stakeholders and customers is managed in efficiently.
- Be a subject matter expertise of quality claims systems related developments and issue resolutions.
Quality Claims Customer Relations
- Be a single point of contact for all claims related queries from the customers including claims documentation, issue resolution, alignments and customers visits.
Manage Key Operations Activities
- Process customer invoices in accurate and timely manner.
- Ensure receipt and reconciliation of shipments data in SAP is performed accurately.
- Reconcile stock/ inventory for terminal stocks and vessel contents
- Ensure all Master data is managed in the system without any errors.
Stakeholder Management
- Closely collaborate with Finance, Sales, Quality and Supply Chain functions to understand and drive a culture of collective claims and operations activities ownership and development.
- Develop strong relationships across the business
- Challenge key assumptions, introduce new perspectives and lift quality of decision making.
Claims and Operations Activities Performance Management
- Contribute to the performance management metrics/ scorecard, driving root cause analysis, continuous improvement and corrective action plans
Continuous Improvement
- Lead efforts of continuous improvement of quality claims and operations activities process

We are looking for a strong team player who shows independence, workplace adaptability and is willing to go above and beyond to grow in the company. You will also meet the following criteria:
- Undergraduate or master’s degree with specialization in business /supply chain/ logistics preferred.
- 6-8 years of hands on years of experience in supply chain or quality management function in any industry.
- Competency in English language (TOEIC 700 and above preferred)
- Familiarity with using Excel to do basic analysis and utilize formulas.
